Urban Sketchers (USk) is seeking a passionate, organized, and collaborative Symposium Coordinator to help support the successful delivery of the USk International Symposium.
This role is at the heart of the Symposium experience. The Symposium Coordinator works closely with the Events Director, International Organizing Committee (IOC), Local Host team, volunteers, and faculty members to help ensure that the symposium runs smoothly, efficiently, and with the welcoming spirit that defines the Urban Sketchers community.
From participant support to on-site logistics, this role helps create the conditions for meaningful learning, connection, and sketching experiences during the Symposium.
As Symposium Coordinator, you will
- Participate in symposium planning meetings alongside the Events Director and organizing teams
- Support on-site logistics and day-to-day operational needs during the Symposium
- Assist with ticketing, registration, and participant check-in
- Support participants, volunteers, faculty members, and Local Organizing Committee (LOC) teams throughout the event
- Coordinate room setups, transitions, and opening and closing activities in collaboration with the IOC
- Help troubleshoot issues and adapt professionally to changing needs during the Symposium
- Support clear communication and effective use of on-site resources
- Help manage the USk Symposium Hub
- Foster a positive, collaborative, and welcoming atmosphere for participants and team members alike
- Support a smooth transition by sharing knowledge and onboarding the incoming volunteer.

Requirements
We are looking for someone with:
- An active connection to the Urban Sketchers community and familiarity with the USk International Symposium format
- Previous experience as a Local Host, symposium volunteer, or symposium participant
- Strong organizational and project coordination skills
- Ability to oversee assigned Symposium workstreams with strong attention to detail in planning and execution of related activities
- Confidence working collaboratively within international team environments
- Strong written and spoken English communication skills
- The ability to stay structured and adaptable in fast-moving event situations
- Experience with Google Drive, Google Calendar, Eventbrite, or similar tools
This position is for a two-year term, with the possibility of renewal.
